As the project team worked tirelessly to implement the first phase of Workday Student by the scheduled deadline of July 2022, it became apparent, that due to the complexities of this large a project impacting all departments, colleges, faculty, staff, and students; that a deadline extension is necessary to ensure the most efficient and effective system is delivered.
A communication went out to the faculty and staff members outlining the next steps for the project.

Toggle More InfoFourth Round of Customer Confirmation Sessions Take Place
A run-through of the FGCU business processes for Curriculum & Advising, Student Financials, Student Records, Financial Aid, and Admissions was held the week of March 21st. These confirmation sessions help to provide an overall view of how Workday Student will look and function at FGCU.
End-to-End Testing Begins
End-to-end testing began March 28th, which involves fully testing the business function flow from one step to the next to ensure satisfaction with the system. Testing is typically conducted early and often (and even after a system is moved to production) with the goal to identify any problems, address and fix them so that functionality performs smoothly.
Change Ambassador Meet & Greet
The Workday Change Ambassador Network met at the Veteran’s Pavilion for a meet and greet in order to socialize and see all the wonderful people supporting various areas of the FGCU university with regards to Workday. While mingling, a group photo was taken to commemorate the occasion. Be sure to checkout the Change Ambassador interactive map on the Workday website to learn who supports your area.
Change Ambassador First Monthly Meeting Takes Place
The Workday Change Ambassador Network first monthly meeting convened this month. These monthly meetings open two-way communication between the change ambassadors and the Change Management Team. This also provides an opportunity to share and provide information so the Change Ambassador Network can come to know HOW to learn Workday Student and share that information with their areas.

Training Needs Assessment Analyzed
The training team is analyzing the completed Needs Assessments that were conducted with the functional workstreams in February and is fine-tuning the curriculum based on this information.

Toggle More InfoThird Round of Customer Confirmation Sessions Take Place
A run-through of the FGCU business processes for Curriculum & Advising, Student Financials, Student Records, Financial Aid, and Admissions was held; gaps were identified and marked for investigation and remediation. These sessions created a great deal of excitement with the audience, as it provided an overall view of how Workday Student will look and function at FGCU.
The final round of Customer Confirmation sessions is scheduled for the week of March 21st, followed by the kickoff of end-to-end testing starting March 28th. End-to-end testing involves fully testing the business function flow from one step to the next.
Change Ambassador Kickoff Event
The Workday Change Ambassador Network was initiated and the kickoff meeting was held on February 24th. Change Ambassadors are representatives from every department on campus who will see sneak previews of Workday Student, carry information about Workday Student to their departments, and provide feedback from colleagues to the Change Management Team. Workset D Being Finalized
The Workday Student project team is currently finalizing Workset D, the final sprint on completing configuration (i.e. a set period of time to complete certain tasks towards being able to test what's been built). February and March will wrap up building of the business functions into the Workday Student system.
Training Needs Assessment Conducted
The training team began working closely with the functional workstreams to analyze training needs specifically related to the Workday Student business processes, which is instrumental in determining the overall training curriculum, timeline, and schedule.

Toggle More InfoWorkday Student Website Rolls Out
The FGCU Workday website is updated to rollout project progress communications and resources as they prepare Faculty, Staff, and students for the 2023 “go live” phase.
This website will be your “One Stop Hub” for all things Workday, including the bi-annual release updates to the existing Workday HCM Platform; and Workday Student project progress reports and readiness resources.
Customer Confirmation Sessions Held
Alchemy, our Workday consulting partner, held Customer Confirmation sessions the week of December 13th. These sessions provided a walk through by the FGCU project team of the Workday system and business processes that have been built into Workday to date. This type of walk through helps to gain buy-in, approvals, or changes necessary from other constituents. It also allows the FGCU project team to capture features to be shared and discussed with FGCU as a whole.
Readiness Survey and Interviews Conducted
The change readiness survey and interviews were completed by Faculty and Staff in October and November 2021 with the intent to help the Workday Student project team gather feedback regarding change at FGCU as we continue our digital transformation with the addition of Workday Student.
Following the change survey, focus groups were conducted with Faculty and Staff to help the Workday Student project team in making the Workday Student rollout as seamless, clear, and receptive as possible to all impacted.
What’s next?
Over the next several weeks and months, the team will be working on the following steps:
- Summarizing all the feedback. Recurring themes are being noticed:
- Transparency with the overall plan and timeline
- Role based communications and resources
- Ongoing Workday support
- Once we have that action complete, we will review the summarized data with the Workday Student Change Management group. Together, we will determine the best approaches in applying these insights into our future communications, training, and overall project plans.
- Going forward, what’s learned will be incorporated into periodic updates and engagements
with impacted audiences in an effort to provide clarity in what to expect for optimum
readiness as we prepare for the “Go Live” phase, such as:
- Updating and communicating a rollout timeline, project progress reports, and various training resources via the Workday website. Be sure to bookmark it!

- Student network engagements coming in 2022.
